Migration Information

Migrations can be a stressful time for businesses as they can be quite daunting about what to expect and what happens, here at SMS we have a dedicated migration team who will help you through this process of migrating to Office 365.

SMS will carry out the following work

  • Verify your domain with Microsoft (You may need to contact you if we don't manage your DNS)

  • All existing mailboxes, aliases and groups are added to Office 365

  • All new Office 365 mailboxes are created with a temporary password

  • We will send you a ticket via email detailing the steps you need to follow, this includes

    • DNS details (Only sent if we don't manage or have access to your DNS)

    • Updating your temporary password

    • Guides for setting up Outlook and any devices

    • Webmail Access

    • Admin Access

We will process the data migration, which includes migrating all your email, contacts, calendar and tasks across to Office 365, once this is complete we will send you a confirmation and for customers migrating from our Hosted Exchange 2013 platform, your old mailboxes will automatically be deleted after 5 working days.

Please Note:  If you are migrating from a Hosted Exchange 2013 Basic mailbox or from any IMAP service, we are unable to migrate your calendar, contacts or tasks, you will need to take an appropriate backup of these, our migration team can assist you with this. 

For any mailbox setup using POP or accounts which download all emails locally, we would be unable to use the migration service for these accounts. You would need to take an appropriate backup of your mailbox which our migration team can assist you with this. 

You (Customer) will need to carry out the following

  • Follow the steps we send out

  • Reconfigure Outlook/Email Clients using our step by steps guides

  • Configure any mobile phones or tablet devices using our guides

  • If required: Setup any other services such as printers/scan to email

Important Information

If you are being migrated from our Hosted Exchange 2013 platform you will notice a mailbox under your account called 365admin@ we use this to complete your migration to Office 365 and we ask you not to delete or reset the password on this account.

We also create a mailbox on Office 365 called 365admin@ which is also used to complete your migration and also provide you with support, we ask you not to delete or reset the password on this account.

Data Migration Restrictions

Some items cannot be migrated across to Office 365, these include

  • Signatures
  • Notes
  • Rules
  • Categories
  • Colours
  • Customised formatting
  • Local Contact Groups
  • Local Archives (pst/ost/olm)
  • Contacts (POP/IMAP and Basic Accounts Only)
  • Calendars (POP/IMAP and Basic Accounts Only)
  • Suggested Contacts
  • Local Contacts
  • Local Calendars
  • Public Folders
  • Contacts Stored on SIM card (Mobile Phones Only)
  • Recipient list (Saved email addresses in the To field)
  • Outlook add-ons
  • Meeting events such as cancellations etc
  • Any folder name with special characters (e.g. / \ * $ £ _ - & etc)
  • Any folder containing 100K items
  • Any mailbox with a quota exceeding 100GB
  • Cloud storage such as Google Drive, OneDrive, SharePoint or Dropbox

iOS: iOS 13

Windows: Windows 10 build 14393

Android: Android OS 7.0

Web: Latest version of Safari, Chrome, Edge, or Firefox

Mac: MacOS 10.14
